* Definition:
Working under the supervision of the President’s Secretary, the full‐time Bilingual Receptionist oversees and manages office procedures and other tasks as assigned.

* Duties and Responsibilities:
1. Maintain President’s personal and business calendars in the Secretary’s absence.
2. Set up and coordinate meetings and conferences.
3. Answer telephones and transfer calls to the appropriate person.
4. Open, sort and distribute incoming correspondence, including packages, faxes, email.
5. Perform general clerical duties to include, but not limited to copying, faxing, mailing and filing.
6. File and retrieve organizational documents, records and reports.
7. Create and modify documents such as reports, memos and letters using word processing, spreadsheet, database and/or other software such as Microsoft Office or other programs.
8. Make travel arrangements for the President and for other Executives.
9. Collect and maintain inventory of office equipment and supplies.
10. Research, price and purchase office furniture, equipment and supplies.
11. Arrange for the repair and maintenance of office equipment.
12. Assists in special events, such as conferences and meetings.
13. Assist with overall maintenance of the organization and its offices.
14. Other duties as assigned.

* Knowledge, Skills and Abilities:
1. Proficient reading, writing and speaking in English and Portuguese with the ability to communicate effectively.
2. Computer literate.
3. Good writing, analytical and problem‐solving skills.
4. Knowledge of principles and practices of organization, planning, records management and general administration.
5. Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines.
6. Experience in general office responsibilities and procedures.
7. Knowledge of principles and practices of basic office management and organization.
8. Knowledge of the basic principles and practices of bookkeeping.
9. Ability to work well either alone or as part of a team.
